Model Bylaws Update Due August 31 2026

As a reminder, all chapters are expected to review and update their bylaws using the current SMPS Model Bylaws template no later than August 31, 2026.

Why Is This Happening?

The bylaws update supports the transition to the new fiscal year structure and helps ensure greater consistency across all chapters. It also provides an opportunity to modernize governance practices, align terminology, and incorporate updates approved by the Society board of directors.

The February 2026 Model Chapter Bylaws provide the reference template for this update. They cover membership and voting, chapter meetings, board and officer responsibilities, elections, committees, financial governance, and amendments.

Key Provisions to Review

  • The chapter and Society fiscal year begins January 1 and ends December 31. Regular officer and director terms begin January 1.

  • The model includes a call for board nominations by August 1, receipt of nominations by September 15, and procedures for selecting a slate and conducting contested elections.

  • The model’s amendment process requires Society approval before the membership vote, at least 30 days’ notice, and participation by at least 20 percent of eligible members. A majority of members voting is required for approval.

  • The template contains chapter-specific fields and options, including chapter name, state, and Secretary and Treasurer term provisions. Complete these fields and keep related provisions consistent.

Recommended Process

Step 1 Review the February 2026 Model Bylaws

Download and review the latest model bylaws template. Pay particular attention to governance structure, officer terms, election procedures, and fiscal year changes.

Step 2 Meet With Your Board

Review the proposed changes with your board of directors and identify any chapter-specific updates needed to reflect your operations while maintaining alignment with the model.

Step 3 Submit Draft Changes for Review

Before presenting the bylaws to your membership, submit your draft and a summary of major changes to Kai Wright for review. This step helps identify any areas that may conflict with the Model Bylaws and can save time later in the process.

Step 4 Conduct Member Approval

Once the draft has been reviewed, present the proposed changes to your membership for approval in accordance with your current bylaws. Chapters may conduct the vote electronically or through another approved method consistent with their governing documents.

Step 5 Submit Final Approved Bylaws

After member approval, submit the final adopted bylaws to SMPS HQ for recordkeeping.

Best Practices

  • Start early and avoid waiting until August

  • Focus first on required model updates before discussing chapter-specific changes

  • Keep a summary of major changes to share with your board and membership

  • Allow sufficient time for member review and voting

  • Submit drafts for review before scheduling a membership vote

Build Belonging Throughout the Member Journey

Last month, our CEO Marci D. Thompson shared a message about the importance of belonging and how it relates to membership. In case you missed it, we’re sharing it again!

Belonging doesn’t happen in a single moment; it develops through a series of intentional experiences. At SMPS, the member journey is a progression, and each stage plays a role in driving engagement and long-term retention.

In the first 30 days, connection is critical. New members are asking if they belong. Through thoughtful onboarding, early touchpoints, and local outreach, we create a sense of welcome that encourages early engagement and reduces drop-off.

From there, participation matters. Members need clear, low-barrier ways to get involved. When chapters and HQ make it easy to take that first step, members move from observing to contributing.

Over time, engagement becomes relationship. Members begin to find their people. Consistent interaction and shared experiences build trust and connection, turning participation into community.

When we align around this journey, we shift from managing membership as a transaction to cultivating it as an experience. That’s what drives meaningful membership progress and strengthens the future of our Society.

Learn About Board Service on June 11

SMPS HQ is hosting a complimentary webinar on June 11 to share more about available positions and the selection process. Society leaders, along with SMPS and SMPS Foundation board members, will be on hand to answer questions and share more information about board service.

CLS Plus for Presidents Elect

On May 20, SMPS HQ kicked off CLS+ for presidents-elects with a session on preparing for their first board meeting. We have a few additional sessions, one each month through September. Next up is Programming With a Purpose, with useful tips on how to align programming with member interests and chapter goals. We’re excited to continue the support in this post-symposium leadership series as we help our leaders navigate their presidential year. CX Immersion Program

Following the success of our 2025 pilot, the 2026 CX Immersion calendar is now underway, with programs actively being delivered across the country. Upcoming host chapters include SMPS North Florida, SMPS Utah, SMPS Southeast Michigan, and SMPS Kansas City, to name a few, with additional locations continuing to be confirmed through December 2026. Guided by SMPS Foundation research, CX Immersion delivers practical, research-backed client experience strategies that members can immediately apply within their firms.

What This Means for Your Chapter:

  • No cost. No financial risk. No operational burden

  • SMPS HQ manages curriculum, contracting, registration, and delivery

  • Chapters support promotion and member engagement locally

  • Participants may earn up to 10 CEUs
